Neurotropic Wellness, LLC, doing business as ConnectUsRx™ (“ConnectUsRx,” “CRX,” “we,” “us,” or “our”), respects the privacy and security of information entrusted to us.

ConnectUsRx provides healthcare technology, marketplace, administrative, and related infrastructure that supports independent healthcare providers, medical practices, pharmacies, and other authorized healthcare organizations. ConnectUsRx does not independently provide medical care, diagnose patients, prescribe medications, or establish a provider-patient relationship.

This Privacy Policy describes how we collect, use, disclose, maintain, and protect information through our website, technology platform, and related services. It also describes our role when we handle Protected Health Information (“PHI”) on behalf of healthcare providers and other organizations subject to the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”).

  1. Information We Collect

Depending on how you interact with ConnectUsRx, we may collect the following categories of information:

Website and Business Information

We may collect information provided directly to us through our website or business interactions, including:

  • Name
  • Email address
  • Telephone number
  • Business or practice name
  • Professional credentials
  • Mailing or business address
  • Account and login information
  • Information submitted through contact, demonstration, registration, or support forms
  • Communications with ConnectUsRx
  • Billing and transaction-related information, where applicable

We may also automatically collect certain technical information when users interact with our website or services, such as IP address, browser type, device information, pages visited, and similar website usage information.

Healthcare and Platform Information

When healthcare providers and other authorized organizations use the ConnectUsRx platform, ConnectUsRx may create, receive, maintain, or transmit information necessary to support authorized healthcare workflows.

Depending on the services utilized, this may include information concerning patients, prescriptions, consultations, orders, pharmacy fulfillment, healthcare documentation, and other information necessary to facilitate services requested by an authorized healthcare provider.

Some of this information may constitute Protected Health Information under HIPAA.

  1. How We Use Information

ConnectUsRx may use information as necessary to:

  • Provide, maintain, administer, and improve the ConnectUsRx platform and services;
  • Establish and maintain user accounts;
  • Authenticate and authorize platform users;
  • Support healthcare providers and other authorized organizations using the platform;
  • Facilitate authorized prescription, consultation, pharmacy, fulfillment, and related healthcare workflows;
  • Process transactions and maintain appropriate business records;
  • Provide customer, technical, and administrative support;
  • Communicate with users regarding their accounts or services;
  • Protect the security and integrity of our systems and platform;
  • Detect, investigate, and prevent fraud, unauthorized access, or other unlawful activity;
  • Meet legal, regulatory, contractual, accreditation, and certification requirements; and
  • Perform other activities permitted or required by applicable law.

When ConnectUsRx handles PHI as a Business Associate, its use and disclosure of PHI is further limited by HIPAA, applicable Business Associate Agreements, and other applicable law.

  1. ConnectUsRx’s Role in the Provider-Patient Relationship

ConnectUsRx is a healthcare technology and infrastructure company and is not the healthcare provider responsible for a patient’s medical care.

Healthcare providers and medical practices utilizing ConnectUsRx are independent organizations responsible for their own provider-patient relationships. These providers are responsible for, among other things:

  • Establishing the provider-patient relationship;
  • Evaluating patients and determining medical necessity;
  • Making diagnoses and treatment decisions;
  • Prescribing medications;
  • Obtaining required patient consents and authorizations;
  • Maintaining appropriate clinical documentation;
  • Complying with professional licensing and prescribing requirements; and
  • Meeting their own obligations under applicable healthcare and privacy laws.

ConnectUsRx does not independently direct or control clinical decision-making.

  1. Protected Health Information and HIPAA

In providing technology and administrative services to healthcare providers and other healthcare organizations, ConnectUsRx may create, receive, maintain, or transmit Protected Health Information on their behalf.

When ConnectUsRx performs services involving PHI for a HIPAA Covered Entity or another Business Associate, ConnectUsRx acts in accordance with the requirements applicable to its role as a Business Associate under HIPAA, including applicable provisions of the HIPAA Privacy, Security, and Breach Notification Rules.

ConnectUsRx uses and discloses PHI only as permitted or required by applicable law and applicable Business Associate Agreements, including as necessary to provide contracted services on behalf of its healthcare provider clients.

Where required by HIPAA, ConnectUsRx enters into Business Associate Agreements (“BAAs”) with Covered Entities and other appropriate healthcare organizations. ConnectUsRx also requires appropriate contractual protections from applicable subcontractors that create, receive, maintain, or transmit PHI on its behalf.

ConnectUsRx maintains policies and procedures designed to protect PHI and to support compliance with applicable federal, state, and territorial privacy and security requirements.

  1. Privacy and Security Safeguards

ConnectUsRx maintains administrative, technical, and physical safeguards designed to protect the confidentiality, integrity, and availability of PHI and other sensitive information entrusted to us.

Depending upon the nature of the information and services involved, these safeguards may include:

  • User authentication and access controls;
  • Role-based access to information;
  • Secure transmission and storage of sensitive information;
  • Administrative privacy and security policies;
  • Workforce privacy and security requirements;
  • Procedures for identifying and responding to suspected security incidents;
  • Appropriate contractual safeguards with vendors and subcontractors;
  • Procedures addressing unauthorized access, use, or disclosure of PHI; and
  • Ongoing review of privacy and security practices.

No information system or method of electronic transmission can be guaranteed to be completely secure. ConnectUsRx nevertheless maintains safeguards appropriate to the nature of the information it handles and its obligations under applicable law.

  1. Use and Disclosure of Protected Health Information

ConnectUsRx does not use PHI for purposes unrelated to the services it provides to its healthcare clients except as permitted or required by applicable law or applicable agreements.

PHI may be used or disclosed as necessary to:

  • Perform services requested by an authorized healthcare provider or organization;
  • Facilitate authorized healthcare, prescription, pharmacy, consultation, or fulfillment workflows;
  • Maintain and support the ConnectUsRx platform;
  • Provide authorized technical and administrative support;
  • Meet applicable legal or regulatory requirements;
  • Respond to lawful governmental or regulatory requests; or
  • Perform other activities permitted by HIPAA, an applicable BAA, or other applicable law.

ConnectUsRx applies the HIPAA minimum-necessary standard where required.

  1. Pharmacy Partners and LegitScript Certification

ConnectUsRx recognizes the importance of pharmacy quality, regulatory compliance, and patient safety within its healthcare marketplace.

ConnectUsRx limits participation in its pharmacy marketplace to pharmacy partners that are LegitScript-certified or NABP-accredited, as required by applicable LegitScript certification standards. ConnectUsRx verifies the applicable certification or accreditation status of pharmacy partners before they are permitted to participate in the ConnectUsRx marketplace.

Any additional pharmacy partners added to the ConnectUsRx marketplace will be required to satisfy these requirements before participating on the platform.

Pharmacy partners remain independently responsible for maintaining all applicable federal, state, and territorial licenses, registrations, dispensing authority, and other regulatory requirements applicable to their operations.

Availability of specific products and pharmacy fulfillment may vary by jurisdiction based on pharmacy licensure, dispensing authority, product availability, and applicable federal, state, and territorial requirements.

Information, including PHI where permitted, may be transmitted to an authorized pharmacy when necessary to fulfill a prescription or other authorized healthcare service initiated by an appropriately licensed healthcare provider.

  1. Service Providers and Subcontractors

ConnectUsRx may engage third-party service providers to assist with technology infrastructure, hosting, security, payment processing, communications, analytics, customer support, and other operational functions.

We limit access to information to what is reasonably necessary for these providers to perform their authorized services.

When a service provider or subcontractor creates, receives, maintains, or transmits PHI on behalf of ConnectUsRx and HIPAA requires a Business Associate Agreement, ConnectUsRx requires appropriate contractual protections consistent with applicable HIPAA requirements.

ConnectUsRx does not authorize third parties to use PHI for their own independent marketing purposes in violation of HIPAA or applicable law.

  1. Patient Privacy Rights and Requests

Because ConnectUsRx generally handles PHI on behalf of the independent healthcare provider or medical practice responsible for the patient’s care, the provider or medical practice generally serves as the appropriate point of contact for patients seeking to exercise rights concerning their medical records or PHI.

Depending on applicable law, patients may have rights concerning access to, amendment of, restriction of, or an accounting of certain disclosures of their PHI.

Patients seeking to exercise privacy rights concerning their medical records should generally contact the healthcare provider or medical practice responsible for their care.

When required by HIPAA, applicable law, or a Business Associate Agreement, ConnectUsRx will assist the applicable healthcare provider or Covered Entity in responding to appropriate privacy requests.

  1. Security Incidents and Breach Notification

ConnectUsRx maintains procedures for identifying, evaluating, responding to, mitigating, and documenting suspected or known privacy and security incidents.

If ConnectUsRx discovers a breach of unsecured PHI or another incident requiring notification, ConnectUsRx will provide notice to the appropriate Covered Entity, Business Associate, individual, regulator, or other party as required by HIPAA, applicable state or territorial law, contractual obligations, or other applicable law.

ConnectUsRx will cooperate with affected healthcare organizations as required to investigate and appropriately respond to privacy or security incidents.

  1. State, Territorial, and Other Applicable Privacy Laws

ConnectUsRx operates in a healthcare environment in which privacy requirements may vary by jurisdiction.

In addition to HIPAA where applicable, ConnectUsRx complies with federal, state, and territorial privacy, security, breach-notification, and data-protection laws applicable to its operations and to the information it handles.

Where applicable law provides protections or requirements beyond those described in this Privacy Policy, ConnectUsRx will handle information in accordance with those applicable requirements.

Healthcare providers and other organizations utilizing ConnectUsRx remain independently responsible for identifying and complying with privacy, healthcare, professional licensing, and other legal requirements applicable to their own operations and patients.

  1. Cookies and Website Technologies

ConnectUsRx may use cookies and similar technologies to operate and improve its website, understand website usage, maintain website security, and support user functionality.

ConnectUsRx does not knowingly use tracking technologies on authenticated areas of its platform in a manner that would impermissibly disclose PHI to third parties.

Users may be able to manage certain cookies through their browser settings. Disabling certain cookies may affect website functionality.

  1. Data Retention

ConnectUsRx retains information for periods reasonably necessary to provide its services, meet contractual obligations, maintain appropriate business and healthcare-related records, comply with applicable law, resolve disputes, enforce agreements, and meet regulatory or certification requirements.

PHI is retained, returned, or destroyed in accordance with applicable law, contractual obligations, and applicable Business Associate Agreements.

  1. Children’s Privacy

The ConnectUsRx website and platform are intended for use by healthcare professionals, healthcare organizations, pharmacies, and other authorized business users and are not directed to children for independent use.

ConnectUsRx does not knowingly solicit personal information directly from children through its public-facing website.

Information concerning minors that is transmitted through the platform in connection with authorized healthcare services is handled in accordance with applicable law and the instructions and obligations of the applicable healthcare provider or Covered Entity.

  1. Disclosure Required by Law

ConnectUsRx may disclose information when required or permitted by law, including in response to valid legal process, regulatory requests, court orders, subpoenas, or other lawful governmental requests.

Where PHI is involved, ConnectUsRx will make such disclosures only as permitted or required by HIPAA, applicable Business Associate Agreements, and other applicable law.

  1. Changes to This Privacy Policy

ConnectUsRx may update this Privacy Policy periodically to reflect changes in its services, technology, legal requirements, regulatory requirements, certification standards, or privacy practices.

When material changes are made, the revised Privacy Policy will be posted on our website with an updated effective date.
